CRM as the engine behind the business processes of Sparta Rotterdam
Sparta Rotterdam was founded in 1888 and plays its home matches at Het Kasteel, one of the most characteristic stadiums in the Netherlands. The club is known for its rich history and social commitment within the Rotterdam neighborhood of Spangen. As the oldest professional football club in the Netherlands, Sparta Rotterdam not only plays a prominent role on the field, but also aims to elevate its business processes to a higher level off the field. In collaboration with Bluace, Sparta chose a modern, scalable CRM solution based on Microsoft Dynamics 365 Customer Engagement (CE).
What was the challenge of Sparta Rotterdam?
Sparta Rotterdam had worked for years with a custom CRM system that no longer matched the organization’s growing needs. The sales of corporate tickets, sponsorship contracts, and fan shop items for sponsors were conducted through different systems and processes, with limited interconnection. There was an increasing need for a central overview of customer information, sales results, and outstanding actions. The same applies to the availability of corporate products such as business seats, boxes, and sponsorship contracts per season and match. The commercial department needed one central platform for more efficient relationship management and the structuring of processes.
How did Sparta Rotterdam end up with Bluace?
Sparta Rotterdam came into contact with Bluace through a mutual connection. Sparta’s wishes and requirements were mapped out during an initial introduction and intake meeting. Bluace then developed a customer-specific demo based on Microsoft Dynamics 365 Sales, which gave Sparta immediate insight into the possibilities of the new system. This approach led to a custom proposal with a clear investment overview, which formed the basis for further collaboration.
How did the process with Bluace go?
The implementation is set up in two phases:
- Basic setup of Dynamics 365 Sales, including standard integrations;
- Connections with external tools.
This modular approach allows Sparta Rotterdam to go operational early with the core functionalities, while additional integrations are added in later phases.
Solution: one platform for customer management, ticketing, and invoicing
Bluace implemented a custom solution in Microsoft Dynamics 365 Customer Engagement (CE) for Sparta Rotterdam, specifically aimed at the sales process of business products. This has centralized the registration of all companies and contacts. This forms the basis for the complete sales process of:
- Contract sales (fixed business seats, sponsorship contracts);
- Single business tickets (e.g. Eredivisie matches and parking tickets);
- Sale of fan shop items for sponsors.
Through smart automations, tasks are automatically created for the correct departments (such as ticketing and contract management) with each order, including associated information such as billing method, products, and total price. Specifically for Sparta Rotterdam, seasonal and match product inventory management has also been set up to ensure optimal management and availability.
What has the solution provided to Sparta Rotterdam so far?
With the new CRM solution, Sparta Rotterdam has:
- Real-time insight into quotes, orders, and sales results;
- Dashboards for both management and salespeople;
- Automatic task distribution and emails based on sales actions;
- Consistent customer data that supports ticketing, the fan shop, and the sales department.
