Q Backoffice’s challenge
Almost 5 years ago, Q Backoffice started as a group of friends during the study. Soon the company grew faster than anyone imagined. Due to the exponential growth, the online invoicing tool that Q Backoffice uses was quickly no longer sufficient. Due to the increasing complexity, there was a lack of insight. “We used a lot of different tools that looked nice and were easy to use. We knew it could be done differently and more efficiently, but we didn’t know-how. The pluses and minuses of invoices no longer matched the size of the company. At a certain point, more and more people became annoyed by way of working.” Q Backoffice was looking for a system in which functions such as HR, accounting, and invoicing are bundled.
How did Q Backoffice’s search go?
“We first inquired about the available systems in our network. We soon found out that many systems were used that we at Q Backoffice do not think are modern enough. Then we came into contact with a connection connected to finance and recommended Dynamics 365 Business Central to us. We soon realized that we needed an intermediary for the implementation.”
Why did Q Backoffice ultimately choose Bluace?
“Before we came into contact with Bluace, we spoke with two other parties. We did not get the right feeling because too much thought was based on the standard working method of the service provider. Q Backoffice has a complex administration of 14 different companies, and our wishes were not sufficiently listened to. We then decided to look further, as we think the implementation is critical. If the implementation is not done correctly, we have an expensive system that we are not happy with. In the end, someone from our network recommended Bluace. We immediately felt a click. We soon noticed that we listened carefully to how Business Central should be set up. It gave us much confidence that Bluace indicated that they would only continue if they also support this way of furnishing. We call this a constructive collaboration. We looked at each other and immediately knew that we had to go for this.”
How did the process with Bluace go?
“We have been delighted so far. We think along with us and look critically at our wishes. It was clear that Bluace has the right knowledge about the process. You do not always have to agree with each other, but then we have discussed it and any consequences are clear. It’s not that everything we want is done just like that, and that makes us feel understood.”
“According to the planning, the plan was that by the end of 2020, the companies that Q Backoffice manages would run in Business Central. Subsequently, the largest company would also operate in it at the end of 2021. Gradually we noticed that it is not convenient to work partly in another system for a while. We have decided that we will switch to the new system in one go. Almost everything has been set up now, and we hope that we will transfer in June.”
What has the solution brought you?
“It is a huge efficiency boost, and it has ensured that we enjoy our work more. We were manually retyping income and expenditure in the past. You have enough of that after six months because you want to keep growing. You want to automate what you can automate. As a result, we now have time for other things to make things better and let Q Backoffice continue to grow. You have to work on the company instead of for the company.”
